For organisations managing workers across clients, homes, sites and locations

It's 9pm. Payroll runs tomorrow. And someone is still reconstructing Tuesday.

Rosters in one tab. Clock-ins in another. A text thread, an email, a sticky note, a memory. The record of a shift shouldn't be assembled after it — Emprovia Onsite keeps it together while the shift is happening.

Shift records for off-site work

Know which shifts need you.

Same shift. One record. Assembled as it happens — not rebuilt three days later.

Emprovia OnSite keeps the rostered shift and what actually happened together, so managers can review genuine differences instead of reconstructing every shift.

A focused walkthrough of the manager, worker and client experience.

The problem

The Payday Scramble

The roster says one thing. The timesheet says another. A confirmation is buried in a message. A note arrives three days later. Payroll waits while managers piece together what happened.

Scroll to assemble the record

One shift. One record. Reconciled as it happened.

Above: seven separate pieces of evidence for a single shift — a roster row, an SMS reading “Sorry running 20 late”, a paper timesheet, a forwarded email, a sticky note asking “Did Maria’s shift get covered??”, a client confirmation that arrived on Thursday, and a manager approval signed on Friday. Emprovia OnSite places each of them on one timestamped record as it happens.

Not every organisation experiences this the same way. Some teams already have parts of this working well. The cost is usually the same in kind — the record is assembled after the fact, from memory and message threads, under payroll deadline.

The mechanism

The fix isn't more reconstruction. It's not reconstructing in the first place.

Two lines, one record.

Emprovia OnSite keeps the expected shift and the actual shift side by side as the record develops. Clean shifts remain quiet. Meaningful differences become visible and are directed to the appropriate person.

Expected

What was rostered

The shift as it was planned — time, worker, site and the requirements set by your organisation. It stays on the record unchanged.

Actual

What actually happened

Acceptance, clock in and out, breaks, worker notes and — where configured — client or site confirmation, recorded as the shift runs.

Management attention goes where it's needed. The rest is on the record.

Syncline

How a difference becomes a decision.

Syncline keeps what was rostered and what actually happened side by side for every shift — and flags only the differences that matter.

  1. Stage 01

    Expected

The rostered shift is on the record before it starts — a quiet dashed line from Scheduled through to Approved.

  2. Stage 02

    Actual

As the worker accepts, clocks in and records the shift, a solid line travels beside the expected one.

  3. Stage 03

    Divergence

Where the two lines separate, a gap opens. Small, explained differences stay quiet. This one runs past the rostered finish, so it is held for review.

  4. Stage 04

    Resolution

The worker’s note and the site’s confirmation are already attached to the shift. The manager reviews the difference with its context, not a blank timesheet.

  5. Stage 05

    Decision

The manager approves. The decision folds into the record, the shift is sealed, and it stops asking for attention.

A fortnight, at a glance

Most shifts don't need you. Syncline tells you which ones do.

Expected and actual, side by side, for every shift in the period. Shifts that line up settle quietly onto the record. The ones carrying a genuine difference stay in front of you until you decide.

Six shifts. Two need a decision. The other four never needed your attention — and they're on the record.

Management attention goes where it's needed. The rest is on the record.

How it works

Six stages. One developing record.

Each stage adds to the same shift record rather than starting a new document. Nothing has to be reassembled at the end.

01 — Roster

Schedule the shift

The organisation schedules the shift and assigns an appropriate worker.

02 — Accept

Worker responds

The worker receives the shift and accepts or responds to it.

03 — Record

Clock in and out

The worker clocks in and out and adds required shift information.

04 — Confirm

Optional site confirmation

Where configured, the client or site receives a simple confirmation request.

05 — Review

Differences come forward

Emprovia OnSite brings meaningful differences forward for review instead of treating every shift as an exception.

06 — Approve and export

Approve, then export

The manager approves the final record, which can then be exported for payroll and retained in the audit history.

At volume

Most shifts are fine. You shouldn’t have to check to find out.

A month of shifts, shown as expected and actual pairs. Clean shifts settle back. The few that carry a genuine difference stay legible — each one labelled, not signalled by colour alone.

Management attention goes where it's needed. The rest is on the record.

Operational calm

The same week, recorded differently.

Before

Managers reconstructing every shift at payroll time.

Every shift is opened, checked and cross-referenced, because there is no way to tell the settled ones from the ones that need a decision.

With Emprovia OnSite

Clean shifts remain on the record while genuine differences are brought forward for a decision.

The settled shifts are complete and available in the audit history. The manager’s time goes to the shifts that are actually asking a question.

Pilot

Start with a focused pilot.

Begin with a small team, run real shifts through the process and review the results with us. Continue only if the workflow fits your organisation.

Founder-led onboarding during the pilot stage.

What the pilot involves
  • A walkthrough of the manager, worker and client experience.
  • A small group of workers and one or two sites, not the whole organisation.
  • Real shifts, run end to end — roster through to approved export.
  • A review session with us at the end of the pilot period.
  • A decision point: continue, adjust, or stop.

Pricing

Simple pricing based on active workers.

Emprovia OnSite is designed around the number of workers actively using the shift workflow. Early-customer pilot pricing is available following a walkthrough.

The next step

Book a 20-minute walkthrough

Not a sales gauntlet — a working session. Bring your hardest shift scenario and we'll show you what Syncline does with it.

  • Minutes 0–5: your current shift-to-payroll flow, and where it hurts.
  • Minutes 5–15: Syncline on shift scenarios like yours — expected vs actual, the flags, the record.
  • Minutes 15–20: whether a pilot makes sense for your organisation. If it doesn't, we'll say so.
  • You'll get a booking reference code and a confirmation by email. Reschedule anytime — payroll weeks are chaos, we know.

FAQs

Questions we are asked most.

What is Emprovia OnSite?

Emprovia OnSite connects the roster, worker shift record, optional client confirmation, manager review and approved export.

Does Emprovia OnSite automatically approve shifts?

No. Managers retain control of final approval.

Is client confirmation compulsory?

No. Organisations configure when client or site confirmation is appropriate.

What happens if the client does not respond?

The shift remains Unconfirmed. Silence must not be treated as approval.

Does Emprovia OnSite replace payroll software?

No. It prepares an approved record or export that can support the payroll process.

Does it prove physical attendance?

No. Emprovia OnSite creates an operational record using the information and confirmations configured by the organisation. Attendance evidence is recorded, and location information can support that record where your organisation configures it.

Does it make clinical or care decisions?

No. Emprovia OnSite is operational workforce software. It does not provide clinical advice or decide whether a worker is suitable to provide care.

Can we begin with a small team?

Yes. The pilot is intentionally designed to begin with a focused group before wider rollout.
