Straight answers about how OnSite and Academy work, what they record, and what they cost.

OnSite

OnSite — the live product

Rostering, attendance evidence, and approved hours out to payroll — available today.

What is Emprovia OnSite?
OnSite records when a worker arrives, whether they remain at the authorised job location, and when they leave — and keeps an append-only record of attendance evidence for timesheet, payroll and invoice review. Rostering, GPS clock in/out, manager approvals, timesheets and Xero export live in one system. See what OnSite does today.
How does OnSite work, day to day?
Four steps. Build and publish rosters; workers clock in and out with location captured while a shift is active; managers approve the worked hours; then approved hours export to Xero and CSV — no re-keying.
Does OnSite track workers around the clock?
No. Location is captured only while a shift is active — not before, after or between shifts. Each location has a geofence you set (100 m by default, adjustable per location), and how long location data is kept is configurable (24 months by default).
Does OnSite prove a worker did the job?
No — and it doesn’t claim to. OnSite records attendance evidence: arrival, whether the worker stayed at the authorised location, and departure. That’s a durable record to support timesheet, payroll and invoice review, not a claim that the work was performed to standard. Records are append-only, and where a worker’s and a confirmer’s accounts differ, both are kept side by side rather than overwritten.
Can I get approved hours into payroll without re-keying?
Yes. Approve worked hours in OnSite and export them straight to Xero and CSV. OnSite exports hours only — it doesn’t store worker pay rates — so it sits alongside your existing payroll.
Is there an app for phones?
Today OnSite is an installable web app (PWA) that runs on phones: managers can view rosters, handle approvals and log incidents, and workers clock in and out with GPS on device. Dedicated Apple App Store and Google Play apps are on the way.
Academy

Academy — training from your policies

Turn your own policies into approved, assignable training, with the evidence kept.

What is Emprovia Academy?
Academy is a web dashboard feature of OnSite that turns your own policies and plans into controlled worker training — drafted for you, approved by a person, assigned to the workers who need it, and preserved as append-only evidence. It’s not a course library or an ordinary LMS. See how Academy works.
Who approves training before workers see it?
A person, always. Academy drafts the lessons and a quiz from your document, then an authorised approver reviews, edits and approves before anything reaches a worker. Each approval records the reviewer’s name and designation, the training version and the date.
Is Academy training certified or accredited?
No. Academy builds training from your own documents and never claims the content is certified, accredited or endorsed by anyone. It keeps a person in charge of every release and records completions as evidence that supports your compliance record for review.
What happens when a policy changes?
Upload the new version and Academy shows what changed and who needs retraining. The earlier version’s approvals, completions and acknowledgements stay immutable and linked — preserved, not replaced. Updating a training to a new version doesn’t use a new seat or a new purchase.
Billing

Billing — simple, per seat

You’re billed for admins and workers. Clients and confirmers are always free.

How much does OnSite cost?
Simple per-seat pricing in AUD (ex-GST). Starter is A$39 per admin / month and Pro is A$59 per admin / month; both add A$7 per worker / month. Annual billing saves 20%, and clients and confirmers are always free. See full pricing.
Who do I actually pay for?
Only admins and workers. Clients are free, and confirmers — who confirm attendance from a secure link without an account — are never charged. There’s a minimum of 1 admin and 5 workers; one admin seat is included and you add more at checkout.
Is there a free trial? Do I need a card?
Yes — a 7-day free trial, and no card is required to start. Your card isn’t charged during the trial.
How is Academy billed?
Separately from OnSite. Academy is one subscription per business, priced per worker seat, in AUD and ex-GST (GST is added at checkout). Seat pricing is volume pricing, per seat per year: A$149.00 for 5–49 seats, A$134.10 for 50–99 seats and A$119.20 for 100+ seats. The whole pool is charged at the rate for the total seats you hold. The minimum first purchase is 5 seats, and after that you can add seats from 1. Each seat belongs to one named worker and includes up to 20 Core company trainings. An extra module is A$79.99 one-off per business, and you can optionally add done-for-you setup: Starter setup A$500 (up to 3 modules), Standard setup A$1,000 (up to 8) or Complete setup A$1,500 (up to 15).
Are there setup fees, and how does GST work?
Billing is self-serve with Australian GST handling, and all listed prices are ex-GST. For Emprovia OnSite, module setup is a one-off A$1,000 per module, arranged and invoiced when you onboard. Larger operations can ask about Enterprise for custom volume pricing. For Emprovia Academy, optional done-for-you setup is priced separately (Starter, Standard or Complete setup): see the setup bands on the Academy page.
